Guidance notes for completing request form

The accommodation request form should be fairly easy to complete and additional information is accessible by clicking on the (i) symbol next to many questions. These notes give further explanation on a few questions and you may find it helpful to refer to this page whilst you complete the form.

Contact address and email address

The LJMU Accommodation Office receives personal details of all students via UCAS and this will include the home address and email address you entered when you applied to university; the request form asks for these details to be entered again in case of any recent changes.  This also provides an opportunity to change your preferred contact email address e.g. i you are out of the country at present and wish all correspondence to be sent to a parent or guardian, or you gave UCAS a school/college email no longer used regularly.

Please note that your copy of the request form will be sent to the Email address listed here so please make sure that it is entered correctly.

Is your place at LJMU currently? 

This question refers to the status of your offer from LJMU. All students who have accepted an offer from LJMU and made us their first choice university can submit an accommodation request to be allocated a bedroom of their choice. This is regardless of whether that offer is Conditional or Unconditional. In other words LJMU will allocate a bedroom to all students whose offer status at LJMU is described as CF (Conditional Firm) or UF (Unconditional Firm).

If you intend to make LJMU your first choice university but have not yet done so it is important that you log on to the UCAS website to update your record as soon as possible - and preferably before you submit your accommodation request.

Students who intend to make LJMU their insurance university should not submit an accommodation request because these are not processed in any way. If LJMU does become your first choice university at a later date, you will need to contact the Accommodation Office because the accommodation available at that time may be different.

If your place at LJMU is already confirmed - for instance you accepted a place last year and then deferred entry - you should select UF in this section of the form.

Choice of accommodation

In this section you can state three preferred accommodation options in preference order by selecting a location and also a type of bedroom, where more than one type is available. The request form is updated regularly to reflect availability and therefore students are usually able to secure a room in their first choice. However it is possible that your first choice will become fully booked before the form is updated and in that instance we will contact you and ask if you wish to be allocated to your second or third choice instead. 

Gender preference

All the accommodation we offer will do its best to honour requests for you to live in a single gender flat but this is not always possible for students who apply later in the year. If you express no preference then you are likely to be placed in a mixed gender flat. All mixed gender flats feature a minimum of two members of each gender and are usually divided on a 50:50 basis (e.g. 3 males and 3 females in a 6 bed flat). In addition, female students are not usually placed into a flat with a higher number of male students.

Smoking preference

All the accommodation we offer will do its best to honour requests for a smoking or non-smoking flat, although this is not always possible for students who apply later in the year. If you express no preference then you are likely to be placed in a non-smoking flat. Students who opt for a smoking flat should be aware that this only allows them to smoke in their bedroom and not in the communal area of the flat. Please note that smoking is not permitted in any part of Europa, Great Newton Hall, Marybone (1, 2 and 3), North Western Hall, Opal Court, Victoria Hall or Rose Lane.

Do you require parking?

The Accommodation Office keeps a record of the available parking spaces and notes how many have been allocated. If you request parking at a site where it is no longer available, you will be contacted by the Office to discuss your options. Please note that LJMU recommends that students do not bring their cars to Liverpool.  In particular it is important to note that there is no student parking at the I M Marsh Campus and so students based at this campus should not bring their cars to Liverpool.

List of friends to share your flat

If you wish to share your flat with a friend or friends who are also joining LJMU, you must all submit your request forms at the same time and ensure that they cross-reference to each other. If you have a friend who does not yet know whether he or she is coming to LJMU, you must wait until everyone in the group has accepted their offers and made us their first choice university before submitting your forms.

Please note that new LJMU students can only share their flat with other new LJMU students - there are no exceptions to this rule.

Special requests or requirements

It is important to let us have information about any special requirements as early as possible so that we can meet your needs fully. Examples include any disability or medical condition which would affect you in your accommodation. Such information will be shared with the owner of your chosen accommodation unless you request that this does not happen. The information will also be passed in confidence to LJMU's Student Advice & Wellbeing department. If you have already made contact with LJMU to discuss a disability or medical condition, please note this on the form.

Guarantor details 

All students can opt to pay their rent in three equal instalments if they can provide the details of a UK resident guarantor at the time that they complete their tenancy agreement.  Students are required to enter the name of a guarantor even if they intend to pay their rent in full and in advance of arriving in Liverpool.

Students from outside the UK - which includes the Channel Isles, Isle of Man, Eire and Gibraltar - must pay their rent in full and in advance of their arrival if they cannot provide a UK resident guarantor.

In the majority of cases, your guarantor will be your parent or guardian but it can be another member of your family or even a close family friend if necessary. You must not enter the details of a guarantor without first asking their permission. 

The owner of the accommodation will verify the identity and address of your guarantor and confirm their agreement to act in this capacity during the booking process. To do this they may request further information such as copies of household bills or bank statements and they may also carry out a credit reference check with the approval of your guarantor.

The decision on whether to accept a person as your guarantor is made by the accommodation owner and LJMU cannot usually override that decision. If you are unable to provide a guarantor or if you have any queries about this subject, you should contact the LJMU Accomodation Office.
