The Digital Scanning Service is provided under the terms of the Copyright Licensing Agency Higher Education Licence.
To comply with the terms and conditions of the licence, all copyright clearance, scanning and filing of documents will be carried out by the Library Services Document Supply team. The scanned documents will be stored within the CLA Digital Content Store and requesting lecturers will be sent links that can then be embedded into Canvas.
A central Digital Scanning Service is required so that certain licence terms and conditions are adhered to, including:
- Only designated staff are allowed to scan texts
- Ensuring copyright compliance
- Completing Copyright Licensing Agency data recording sheets
- Secure authentication
- Ensuring all correct documentation is maintained for Copyright Licensing Agency audit purposes
The licence allows scanned copies to be made from an original published edition of a copyright work owned by the University or a copyright fee-paid copy.
It covers UK and most US published works subject to Excluded Works and Categories notified from time to time by the Copyright Licensing Agency.
Copying limits are whichever is the greater of the following:
- Up to 10% or one whole chapter from a book
- Up to 10% or one whole article from a single issue of a journal
- Up to 10% or one paper from a set of conference proceedings
- Up to 10% of an anthology of short stories or poems or plays or one short story or one poem or one play of not more than 10 pages
- Up to 10% or one single case from a published report of judicial proceedings
Copies can be made available to any registered students and students on non-credit bearing short courses.
Other material that falls outside the scope of the licence may also be requested, but will require copyright clearance from the publisher or rights holder, which may have cost implications and take time.
All requests must be submitted to the Document Supply Team using the Request book chapter and Request journal article. The form must be completed accurately, allowing sufficient time for copyright clearance if necessary.
Once requests have been verified and scanned, the files are stored in the CLA Digital Content Store. This ensures the material is protected using secure authentication (password protected). Requesting staff will be sent a link to the files, which may then be embedded into the Content Module or Reading List areas on Canvas. Staff and students will then be able to access the documents both on and off campus.

The Digital Scanning Service:
- supports teaching and learning
- can facilitate copyright clearance and digitisation of texts that fall outside the scope of the CLA HE licence. This may involve additional costs
- offers copyright advice
- ensures that scanned texts comply with licence terms and conditions and that they are available when requested by the Copyright Licensing Agency for audit purposes
