Update to your OneDrive storage quota



In order to future-proof digital capacity and ensure balanced usage across Microsoft 365 services, IT Services is introducing updated OneDrive storage quotas for all staff and students.

The change comes as part of a broader initiative to holistically manage data storage demands, which have steadily increased in recent years.

The change will take place on Monday 9 February and, as part of this change, all staff and student OneDrive accounts will transition to a standard storage quota of 200GB. This should provide a significant amount of space for day to day activity, while helping maintain long term sustainability across the wider Microsoft ecosystem.

Existing heavy usage will be protected

Staff and students currently holding more than 200GB in their OneDrive will not be forced to reduce their data. Instead, these accounts will automatically receive a personalised quota set to their current usage plus an additional 10GB, providing a buffer for short term adjustments.

This tailored approach aims to minimise disruption while encouraging users to manage, organise, or archive data more proactively.

If you need to request additional storage

Although the new quota is expected to meet the needs of the vast majority of staff and students, if you legitimately require additional OneDrive capacity you can submit a request via LJMU Assist, where it will be reviewed on an individual, needs-based basis.

Supporting good data practices

The IT Services team emphasises that sustainable storage management is key to keeping systems fast, secure and cost effective. Teams are encouraged to consider good data hygiene practices—such as archiving legacy files, reviewing large media content and making use of collaborative tools like MS Teams and SharePoint where appropriate.
