CLA data collection exercise
University staff are being asked to take part in an exercise which will provide a snapshot of how they copy or use published materials.
LJMU is one of a number of institutions which has been chosen to participate in the 2025-2026 CLA (Copyright Licensing Agency) data collection exercise.
The university holds a copyright licence that allows staff to photocopy, scan and re-use published material, without having to seek permission or worry about infringing copyright. This includes books, journals and periodicals used for learning and teaching purposes.
Periodically, the CLA require institutions to provide information about the type of published content they are re-using, for example, copy or re-use of printed publications such as books, journals and periodicals as well as digital originals which are printed out and then on-copied. Data collected is used to help distribute royalty payments to the authors, publishers and visual artists whose work is being used.
What do I need to do and when?
From 22 September to 7 November 2025, all staff should record which books, journals and magazine articles they photocopy or print. Simple digital tools (detailed below) will be available to help do this. No personal data will be recorded or collected during this exercise.
How to send your print or copy information to the CLA
1. Using the University printers
Once you have made your photocopies or sent scanned copies to yourself, use the scan function to send a digital copy of the material to the CLA. Select Scan to CLA and enter the number of people you plan to share your copied document with.
2. Using the Online Reporting Form
Complete all fields on the Online Reporting Form including the quantities then click submit. The form will reset itself so that you can continue to record data.
3. Using Cloud-Capture, for larger resources
If you are copying course packs to be distributed to your students, the packs will need to be uploaded to a secure area provided by the CLA. Please email a copy of the packs to Maria Follett and include the following information:
- Name of academic area and course of module
- Number of students the packs were made available to.
